A RESOLUTION AUTHORIZING AMENDMENT OF A CONTRACT FOR NON-IRRIGATED LANDSCAPE MAINTENANCE SERVICES WITH RUBICON CONTRACTING, LLC

Body
The purpose of this resolution is to authorize the contract extension for maximum procurement authorization for non-irrigated landscape services to Rubicon Contracting LLC.
· In June of 2023, the City Manager’s Office approved the Master Services Agreement (MSA) to authorize award of a 1-year contract with the option for 4 renewals for city-wide, non-irrigated landscape services to Rubicon Contracting LLC the base amount of the contract is $240,000.
· In 2023, the Public Works Department was tasked with increasing levels of services and providing property maintenance to all City-owned parcels. Public Works staff developed a Request for Proposals (RFP) formally soliciting for pricing to complete the work.
· The additional tasks completed by the contractor included weed control (chemical and manual weed removal), mowing, and trash pick-up.
· To meet levels of service expected of the Public Works Department, the MSA with Rubicon Contracting, LLC will need to be extended for maximum procurement authorization allowance as it would currently exceed the total authorized contract value for the term of the contract.
· The MSA with Rubicon Contracting, LLC. will require an extension of $320,000. This will account for the additional parcels to be maintained by the Public Works Department. Public Works staff will seek to re-solicit the non-irrigated landscape services contract work at the end of 2024, with the goal of completing the RFP process by December 31, 2024 for subsequent years.
