RESOLUTION APPROVING MAINTENANCE CONTRACT FOR BEACON COMMUNICATIONS

Summary and Background Information:
The access control system used around the City is maintained by Beacon Communications, LLC. This system involves all doors, security gates, ID badges, and any other non-keyed method of access used in City facilities. The system that controls all of this hardware is proprietary and can only be maintained by Beacon or its authorized subcontractors. This agreement would renew the contract for a further three years at a reasonable rate of increase for routine monitoring and servicing of equipment and systems at a cost of $389,278.38. In addition, the contractor performs approximately $80,000 per year in other repairs and replacement of equipment on an as needed basis, as such, an additional $240,000 (not to exceed approximately $80,000 for each year of the contract - 2020, 2021, 2022) is being authorized for a total contract not to exceed $630,000.
Enlisting Beacon Communications for these projects ensures consistent and quality installation of hardware that is compatible with our current system. Beacon technicians have specific knowledge of the infrastructure involved in the security system and the layout of the building in general. As such, Beacon would be able to provide the best service in a timely manner.
