A RESOLUTION AUTHORIZING RENEWAL OF MICROSOFT ENTERPRISE AGREEMENT FOR THE PURCHASE AND USE OF MICROSOFT PRODUCTS, SOFTWARE AND SERVICES

Summary and Background Information:
The current Microsoft Enterprise Agreement signed in 2020 is set to expire on June 30th, 2023. The Microsoft Enterprise Agreement includes the purchase and use of Microsoft products, software and services including Office365 Email, SharePoint, OneDrive for Business, Microsoft Teams, Windows computer operating system upgrades/patches and Windows Server operating system upgrades/patches.
The proposed renewal agreement would run from July 1st, 2023 to June 30th, 2026 and would allow continued use of Microsoft products for the City. Insight Public Sector is the Microsoft reseller the City used in the previous agreements and would be utilized this time. Microsoft government pricing is the same for all Microsoft resellers so there is no advantage to using another reseller. The pricing utilizes a collaborative purchasing agreement under the State of Colorado - Governor's Office of Information Technology. The cost of this agreement is estimated at $248,000 per year with a three year cost of $744,000. The 2023 approved budget included the costs of year one.
